Streamlining communication

Improving communication with parents and streamlining school administration is a key challenge for education providers. In 2012 Trinity Grammar School appointed Icon to partner with its internal IT team to design and build a bespoke Parent Portal and integrated booking system for teachers and school administrators. Our challenge was to partner with Trinity and their Director of ICT to build a bespoke system that looked beyond out-of the-box solutions currently on the market.


The ambitious scope of the Trinity Connect project demanded a close collaboration between Icon and the client to bring this complex and multifaceted platform to life. Integrating with the school’s management software Synergetic was a further challenge.


Built on the Drupal CMS platform, Trinity Connect is a bespoke management system and communication tool for use by parents and teachers at the school. It enables parents to interface with the school from the convenience of a PC or tablet – from reviewing student calendars and enrolments, to managing permission and medical forms, and downloading communications. Teachers get access to school administration functions, including room bookings, 
messaging, calendaring and permissions management, and medical form sign-offs.

Technical details

Trinity Connect is a bridge between the widely used school data management system, Synergetic, and the open source content management system, Drupal. It securely reads and distributes information to parents and teachers in a friendly interface, allowing for two-way communication.

For parents    

Parents can log into the system using their school-assigned login information. The system will then assign the correct permissions and display their child's/children's Calendars, Class Timetables, School Reports, Medical and Personal Particulars information, Class and Teacher Address Books, Upcoming Events, ability to subscribe to calendars using smart phones, billing Information, as well as targeted news, policy information, links, common news and galleries. 

Considerable focus has been placed on workflows such as sending permission and up-to-date medical information home to parents, and back to the school through a simple app-style interface.

For medical staff

After a parent has submitted an updated medical form, medical staff can review changes to medical forms, edit, approve, decline and insert directly back into Synergetic using a purpose-built database-stored procedure by Synergetic for the Trinity Connect system.

For teachers

Teachers are able to log into the system, create targeted news articles for their students, create, edit and view room and asset bookings, create excursions, private bookings, and automate the request for permission letters and medical information from student's parents.

For administrators 

Trinity Connect has been built on a 'separate system' ideology. Synergetic is Synergetic, and Trinity Connect is Drupal. Using database views and stored procedures gives the school's database administrator overarching control over what data is delivered to the website and displayed to parents. Class, form, house and staff groups come directly from the synergetic system. 

Administrators also have the ability to troubleshoot and help users by seeing what they see.

Mobile app

A mobile-friendly version of the site will be launching soon, and will be available for download via iOS and Android stores.
